Administrative Secretary

Hours:

35 hrs. per wk, 52 wks. per yr., 8:30 am to 4:30 pm

Summary of Duties

Answering and managing a high volume of telephone requests and walk-in inquiries.  Maintaining an administrative filing system.  Making and managing appointments for Dean.  Strong communication skills in working with faculty, staff, and the public.  Proficiency in typing and word processing with experience at taking minutes of meetings and processing written communications with Chairs.  Coordinate with the secretaries of the 9 academic departments for contracts, searches, and various other shared obligations.  Supervising work-study students.  Managing office equipment, correspondence, mail, supplies, copying, etc.  Requisition supplies and printing.  Greet and refer visitors and calls to appropriate staff.  Arrange for meeting rooms, anticipate materials needed for appointment and meetings.  Perform tasks requiring knowledge of computers.  Check/print overload and part-time contracts, summer contracts and track faculty.  Coordinate Hooding and Honors Program and medal process.  Prepare graduation lists for August, January and May.  Prepare graduate entries for commencement booklet and line-up lists for commencement, and assist at Commencement ceremony.  Collect data and prepare Hooding and Honors booklet, and assist and Hooding and Honors ceremony.  Coordinate Freshmen scheduling for college.  Dean CLAS website pagemaster.   Use Ellucian Colleague to track faculty and students as necessary.  Prepare course evaluations query.  Working knowledge of MS Access, MS Excel, and other MS applications necessary.  Working knowledge of University Data Management systems very desirable.  Additional responsibilities as needed.



Requirements

  • Educational:

    High school diploma and significant clerical training.

  • Essential Elements:

    Commitment to confidentiality and administrative support to Dean; Self-motivated and problem solver.  Able to work independently and provide oversight to Dean’s office operations.
