Fricchione Center Administrative Assistant

Hours:

35 hours per week, 52 weeks per year 

Monday, Tuesday, Thursday, Friday: 9:00 AM - 5:00 PM

Wednesdays: 8:00 AM - 1:00 PM 

Summary of Duties

  • Assist center director with aspects of managing the Center
  • Calculate monthly tuition for child care, including appropriate discounts
  • Complete outside billing and attendance reports for outside agencies
  • Accept, record, and deliver tuition to Fiscal Affairs utilizing childcare tuition management software
  • Complete monthly reports for Fiscal Affairs, Human Resources, and Financial Aid
  • Establish and maintain positive relationships with children, parents and prospective families
  • Provide center tours to prospective families
  • Maintain spreadsheet used to calculate the number of children in attendance per ½ hour.
  • Assist with maintaining active wait list by routinely contacting prospective families and offering care when available
  • Assist with operating the Center in accordance to state licensing standards
  • Maintain the health and safety of all children
  • Keep equipment and materials in good repair, including copier
  • Maintain current and accurate children’s records according to regulations and submit promptly. Records also include children’s health appraisals in accordance with the American Academy of Pediatrics and the PA Department of Health and Human Services standards
  • Administer medication in absence of supervisors and/or in an emergency
  • Respond appropriately in all emergencies
  • Report suspected cases of child abuse
  • Attend staff meetings, center events, and professional development opportunities related to job
  • Assist in food preparation as needed
  • Participate in public relations events
  • Answer phone and record messages accordingly
  • Understand and assists staff with developmentally appropriate practice in the class room
  • Assists in and accepts responsibility in other daily center duties that might be temporary in the event other personnel are not available
  • Other duties as assigned by the director


Requirements

  • Educational:

    Computer literate and knowledge of Microsoft Suite including: Word, Excel, Google Sheets and Google Docs. Bookkeeping skills are preferred. To effectively assist in the classroom and to provide Center tours, a background in ECE and child development is preferred.

  • Work Experience Requirements:

    Experience should be related to the skills necessary to work in a secretarial/receptionist capacity. Knowledge of child development, child care centers, Keystone STARS and NAEYC

  • Special Qualifications:

    • Computer skills
    • Communicate effectively, orally, and in writing with parents, children, staff members and visitors
    • Demonstrate positive customer service skills
    • Maintain confidentiality of all program recipients at all times
    • Organize and maintain files relating to child care operation
    • Knowledge of use of office equipment
    • Work with others to achieve Fricchione Center’s goals.Demonstrate professional practice in all aspects of work

  • Essential Elements:

    • Assist director with aspects of managing the Center

    • Organized and possesses excellent customer services and communication skills
    • Provide center tours to prospective families
    • Provide security for the children while in care
    • Follow policies, procedures and regulations that govern the program
    • Follow proper health/safety standards
    • Maintain current and accurate children’s records and submit promptly
    • Report suspected cases of child abuse
    • Edit and design monthly classroom calendar once provided reviewed and provided by director
    • Attend staff meetings, center events, and professional development opportunities related to your job
    • Process written communication as needed
    • Respond appropriately in emergencies
    • Assist in classroom as needed
    • Detail orientated and has ability to plan and organize
    • Team builder

     

  • Other Elements:

    • Assist in food preparation as needed

    • Keep equipment and materials in good repair

  • Physical Demands:

    • Walk, sit, stand, reach, run
    • Lift children ages one month to five years
    • See a distance of one hundred yards
    • Hear children talking, crying, playing, moving and be able to respond immediately
    • Report to work in inclement weather
    • Hear and speak to exchange information with children, staff, and parents
    • Bend at the waist for lifting children and/or equipment up to 50 pounds
    • Work in a busy, noisy environment
