Executive Secretary (temporary)
This position is a TEMPORARY position with a part time schedule of 25-30 hours per week, between 8:30 AM and 4:30 PM.
Summary of Duties
The position entails significantly responsible work performing a variety of complex administrative and secretarial duties for the purpose of assisting in carrying out the duties of the Office of the Secretary of the University and General Counsel. The duties include preparation and management of the calendar; answering telephone calls and providing information to assure proper procedure is followed, prepare forms, correspondence and memoranda from notes or drafts; photocopying; scanning; create and maintain files for the General Counsel’s office, assist in editing and processing affiliation agreements and contracts. Maintain records and create files for University Standing Committees and the Policy Committee of the University. Assist with the Executive Committee of Policy work by typing, formatting proposals and disseminating documents to the Committee. Assist with the work of the Policy Committee, including typing, formatting, and disseminating proposals to the Policy Committee. Prepare policies for dissemination to the University community. Assist with maintaining University website concerning University policies, University Standing Committees, the Faculty Handbook, and the Personnel Handbook. Maintain records and documentation for the Board of Trustees; assist in maintaining the Board of Trustees Manual. Assist in formatting minutes from meetings of the Board of Trustees and Policy Committee.
High School Diploma required, some college preferred.
Position requires confidentiality in the performance of all tasks Position requires proficiency in Microsoft Office (Word, Excel, and Power Point) and G-Mail. Knowledge of Content Management System for the web is helpful. The ability to handle matters with integrity and confidentiality is critical as well as the ability to prioritize and multi-task in a fast-paced environment. Position requires independent judgment under the general supervision of the Secretary of the University and General Counsel. Good communication skills, both oral and written, are desired.
